1. Scope
This Privacy Policy applies to the SiteWright AI web application and related services provided as part of the SiteRep Works Platform. It covers organization data, meeting recordings, audio and video uploads, meeting transcripts, AI-generated summaries, action items, agendas, calendar integrations, and other user-generated content ("Customer Data").
2. Data we collect
- Account data: name, work email, organization, role, authentication metadata.
- Meeting content: voice recordings, audio and video uploads, live transcripts, AI-generated summaries, action items, agendas, decisions, RFIs, submittals, constraints, and follow-ups.
- Calendar & integrations: event metadata from connected calendars and third-party tools you explicitly authorize.
- Usage data: feature usage, device and browser information, log data, and diagnostic events.
3. How we use data
- Deliver, secure, and improve the service.
- Generate AI-assisted summaries, action items, and commitments (see AI Transparency).
- Provide administrative reporting and audit trails to your organization's admins.
- Meet legal, contractual, and security obligations.
4. Recording, transcription, and AI
Recording is host-controlled. Meeting participants are notified when a session is being recorded. Transcripts and AI summaries are generated from your recordings and are stored as part of your organization's Customer Data. Transcription and AI outputs may contain inaccuracies — you are responsible for reviewing AI-generated meeting notes and action items before relying on them.
5. Data sharing
We do not sell Customer Data. We share it only with (a) sub-processors that operate the service under written data-protection terms, (b) your organization's administrators and members you grant access to, and (c) authorities where legally required.
6. Retention & deletion
Customer Data is retained per your organization's retention settings and applicable law. Admins can export or delete meetings, recordings, transcripts, and summaries. Account-level deletion requests can be submitted to privacy@siterepworks.com.
7. Security

8. International transfers
Customer Data may be processed in the regions where our infrastructure providers operate. We use appropriate transfer safeguards where required by law.
9. Your rights
Depending on your jurisdiction, you may have rights to access, correct, delete, or export your personal data. Contact privacy@siterepworks.com.

We will post material updates here and, where appropriate, notify workspace administrators.
